Notice is hereby given that sealed bids will be received by the Board of Education of the Shoreham-Wading River Central School District, Towns of Riverhead and Brookhaven, County of Suffolk, State of New York, at the District Office in the Shoreham-Wading River Central School District, 250B Route 25A, Shoreham, New York until May 15, 2026 at 11:30 AM at which time they shall be publicly opened and read aloud for:

INFORMATION TO BIDDERS

so state and shall furnish with the bid a signed statement which sets forth in detail the reasons therefor. Where (a) (1), (2), and (3) above have not been complied with, the bid shall not be considered for award nor shall any award be made unless the head of the purchasing unit of the political subdivision, public department, agency or official thereof to which the bid is made, or his designee, determines that such disclosure was not made for the purpose of restricting competition. 1. The fact that a bidder (a) has published price lists, rates, or tariffs covering items being procured. (b) has informed prospective customers of proposed or pending publication of new or revised price lists for such items, or (c) has sold the same items to other customers at the same prices being bid, does not constitute, without more, a disclosure within the meaning subparagraph one (a).

2. Any bid hereafter made to any political subdivision of the state or any public department, agency, or official thereof by a corporate bidder for work or services performed or to be performed or goods sold or to be sold, where competitive bidding is required by statue, rule, regulation, or local law, and where such bid contains the certification referred to in subdivision one of the section, shall be deemed to have been authorized by the board of directors of the bidder, and such authorization shall be deemed to include the signing and submission of the bid and the inclusion therein of the certificate as to non-collusion as the act and deed of the corporation.

I BIDS

A. The date and time of bid opening will be given in the notice to bidders.

B. All bids must be submitted on and in accordance with forms provided by the school district.

C. All bids received after the time stated in the Notice to Bidders may not be considered. The bidder assumes the risk in any delay in the mail or in the handling of the mail by employees of the school district. Whether sent by mail or by means of personal delivery, the bidder assumes responsibility for having the bid deposited on time at the place specified.

D. All information on the bid Proposal Form must be completed to constitute a regular bid.

E. Deviations from specifications must be set forth in writing, included in the bid proposal form, and clearly marked as an alternate bid.

F. The bid price shall be net and shall not include federal, state or county sales taxes. Exemption certificates, if required, will be furnished by the school district.

G. All bids must be SEALED and addressed to Purchasing Agent, Kimberly Pappas, District Office, Shoreham-Wading River Central School District, 250B Route 25A, Shoreham, New York 11786-2192. Envelopes should be dated and clearly marked with name and date of bid opening.

II AWARD

A. Awards will be made to the lowest responsible bidder as will best promote the District's interest, taking into consideration the reliability of the bidder and his conformity with the specifications and the terms of the contract.

B. The school district reserves the right to reject any and all bids, in whole or in part; to waive technical defects and irregularities, if in its judgment, the best interests of the district will be served.

C. The school district reserves the right to make awards within sixty (60) days after the date of the bid opening during which period bids may not be withdrawn unless the bidder distinctly stats in his bid that acceptance thereof must be made within a shorter specified time.

D. All bid prices will be in effect until June 30, 2027.

III CONTRACT

A. Each bid will be received with the understanding that the acceptance there of in writing by the school district shall

constitute a contract between the successful bidder on his part to perform the service at the price of his bid and in accordance with the conditions of his bid and that all bid items awarded shall be delivered within ninety (90) days from receipt of district's confirming purchase order or as detailed on the purchase order.

B. If the successful bidder fails to comply with the terms of the contract, the school district reserves the right to contract for services from other sources.

C. Cancellation of a contract by a bidder may result in the removal of the contractor's name from the eligibility list for future proposals.

D. It is mutually understood and agreed that the successful bidder shall not assign, transfer, convey, sublet, or otherwise dispose of the contract or his right, title, or interest therein, or his power to execute such contract to any person, company or corporation, without the previous written consent of the school district.

E. All freight charges will be prepaid by successful bidder and must be included in the bid price.

SPECIFICATIONS PRINTING DISTRICT NEWSLETTER

You may request a copy of the "Review", the district newsletter that is an example of the item you are bidding on. The district may print four to eight times per year.

The District delivers to the printer suitable computer format for printing of document.

The turnaround time from delivery of the data to the printer to delivery to the post offices is 5 business days.

The 4- and 8-page newsletter in printed on 60 lb. white opaque offset paper with 2 colors (2/2), 3 colors (3/3) or full color (4/4). The 6 page newsletter in printed on 60 lb. white opaque offset paper with 2 colors (2/2), 3 colors (3/3) or full color (4/4).

There are three indicia's and three plate changes

It is estimated that 7,000 copies will be printed per issue.
